SYTA HEALTH AND SAFETY PROTOCOL FOR ANNUAL CONFERENCE

Your comfort and safety continue to be of the utmost importance during the 2022 SYTA Annual Conference. Our staff continues to monitor the latest information coming from national, state, and local health and public authorities and are working closely with the Washington Hilton to ensure all recommended safety guidelines and health protocols are followed during our time at the hotel.

One policy that remains in place: any individual(s)s who, within fourteen (14) days prior to the conference, have been exposed to or experienced any symptoms associated with COVID-19, which include fever, cough, and shortness of breath among others, are strongly encouraged not to attend the meeting.

Updates to any policies and procedures will be provided through this website.

Washington, DC Travel Status

COVID-19 LIABILITY WAIVER

An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 and its variants are extremely contagious, attendees should evaluate their risk in determining whether to attend this conference. By registering and attending the SYTA Annual Conference, you, as an attendee, voluntarily assume all risks and personal expense related to exposure to COVID-19 and without liability to SYTA, its Board of Directors, staff and other associated companies. Acknowledgement of this waiver must be confirmed online with registration or by signing the waiver onsite at registration.

EVENT CANCELLATION POLICY

In the event SYTA must cancel the meeting due to unforeseen circumstances, SYTA will issue a full refund for paid registrations. SYTA is NOT liable for reimbursement of any expenses (including but not limited to transportation, hotel, food and beverage, incidentals) incurred by 2022 Annual Conference registered attendees as a result of the event cancellation. For those who deferred their 2020 Annual Conference registration to 2022, SYTA will apply to your annual membership dues and extend your renewal period by a year.

CANCELLATION/REFUND/SUBSTITUTION POLICY

Conference cancellations must be received in writing no later than June 24, 2022. All cancellations are subject to a 20% administrative fee. SYTA will not issue refunds for registrations or event add-ons after June 24, 2022 however, substitutions without penalty are welcome through July 15, 2022. Substitutions made after July 15 will be subject to a $75 fee. SYTA regrets that refunds will not be given for no-shows. To be considered for a refund, requests must be submitted in writing by email to registration@syta.org.

Cancellation policy related to COVID-19:

If you are unable to attend due to a COVID-19 emergency, you may receive a full refund of your

registration fee. This policy applies to the following cases:

  • Your organization / institution places a travel or participation ban on staff
  • You or someone with whom you have close contact has been diagnosed with COVID-19 and will not be released from quarantine or recovered prior to the event

Cancellations related to COVID-19 will be handled on a case-by-case basis and may require documentation.

MEMBERSHIP POLICY

I understand that if my membership renewal is due prior to August 31, 2022, my membership must be current and paid in full prior to August 31 to receive member rate. If my membership is not paid at the time of conference, I understand I will receive an invoice for the difference between the member and non-member conference rate.

HOUSING POLICY

We request that you stay at the 2022 SYTA Annual Conference host hotel, Washington Hilton. SYTA takes a financial risk when securing rooms for the conference. Registrants reserving rooms at other hotels increase this risk, which could result in fewer available rooms and higher room and registration rates in the future. Attendees who stay outside the block will be charged an additional $200 after the conference. We appreciate your consideration and look forward to seeing you in Washington, DC. SYTA is NOT liable for reimbursement of any hotel expenses incurred as a result of individual or group cancellations or cancellation of the conference by SYTA.

Beware of Housing Scams

Please do not make hotel arrangements or share any personal information through any means other than directly with the hotel. If you receive a call or e-mail from an outside company, please be DO NOT share any information.  This is a deceptive practice and is not in any way affiliated with SYTA.

 SYTA Conference Registration

Registration is not required to reserve a room, but SYTA will be checking hotel reservation lists against registered attendees. A room reservation is subject to cancellation if a guest has not registered for conference by May 31, 2022.
